Privacy policy

This policy explains what personal data we process when you use axiralogistics.com, for what purpose and on what legal basis, who else is involved, and what rights you have over it. It is written to be understood without a lawyer beside you.

1. Purpose and scope

1.1 This policy governs the processing of personal data that Axira Logistics, S.R.L. ("Axira") receives through the axiralogistics.com site and the quote forms it contains.1.2 It does not govern data exchanged later, inside an operation already under contract: that is governed by the accepted quote and by any specific agreements signed.1.3 By submitting the form you confirm you have read this policy. If you do not agree with it, do not submit it: you can write to us directly at info@axiralogistics.com.

2. Data controller

2.1 Controller. Axira Logistics, S.R.L., RNC 133-57916-2, registered office in Santo Domingo, Dominican Republic.2.2 Contact. For anything concerning your personal data, including the exercise of your rights: info@axiralogistics.com.2.3 Legal framework. Processing is governed by Dominican Law No. 172-13 on the Comprehensive Protection of Personal Data.

3. Data we process

3.1 Data you give us. What you type into the quote form: name, company, email address, phone or WhatsApp, the stage your company is at, the Incoterm you want to work under, a description of the product you want to import and any free-text message you add. Only the name, the email address and the product description are required.3.2 Language. The language you were reading the site in travels with the form, for the sole purpose of replying to you in that same language.3.3 Technical data. Our server records the IP address and the time of the request in order to limit automated submissions. Its retention period is set out in clause 7.3.3.4 Data we do not ask for. We do not request identity documents, bank details or any special category of data — health, biometrics, racial or ethnic origin, beliefs, trade union membership. Please do not include them in the free-text field; if they do appear, we will delete them.3.5 Minors. The site is aimed at businesses and at adults. We do not knowingly collect data from minors.

4. Purposes and legal basis

4.1 Purposes. To answer your request, prepare and send your quote, follow up on the commercial conversation that arises from it, and keep the record of the operation.4.2 Legal basis. Your consent, given when you submit the form, and the performance of pre-contractual steps taken at your own request, under Law 172-13.4.3 No further uses. We do not use your data for advertising, and asking for a quote does not sign you up to any newsletter.4.4 No automated decisions. We do not build profiles or take decisions about you by solely automated means.

5. Recipients and processors

5.1 Your data is accessed by the Axira staff handling your request and by the providers listed below, which act as processors and may only use it to provide us their service.5.2 Maileroo, our transactional email provider, which sends the two emails the form generates.5.3 Google Cloud Platform, which hosts the site and the server and logs incoming requests.5.4 Our corporate mailbox provider, where your request is stored.5.5 Disclosures. We do not sell, rent or transfer your data to third parties for commercial or advertising purposes. We will only disclose it to the competent authorities where there is a legal obligation or a judicial order.

6. International transfers

6.1 The infrastructure hosting the site is located in the United States, and Axira operates with a counterpart in China. Your data may therefore be processed outside the Dominican Republic.6.2 In those cases we require contractual confidentiality and security commitments from our providers, and we limit the information transferred to what is strictly necessary to answer your request.

7. Retention periods

7.1 Requests that do not lead to an operation. We keep your message for up to twenty-four (24) months from the last contact, unless you ask us to delete it sooner.7.2 Requests that do lead to an operation. We keep the paperwork for as long as the commercial relationship lasts and for as long as Dominican law requires us to retain commercial and tax records.7.3 Technical data. The IP address is held only in the server's memory for ten (10) minutes, which is the submission-control window, and is not written to any database. Requests are additionally recorded in the hosting provider's logs for the limited period it retains by default.

8. Security measures

8.1 Encryption. All communication with the site travels encrypted over HTTPS/TLS.8.2 No database. The site stores your request in no database: it sits in a mailbox with access restricted to the staff handling it. The fewer places that hold your data, the fewer places that can lose it.8.3 Form protection. Submission is protected by a session token, a per-IP rate limit and a honeypot field against bots.8.4 Limits. No security measure removes risk entirely. Should a security breach significantly affect your data, we will notify you by email as promptly as we can.

9. Cookies and tracking technologies

9.1 Current position. This site sets no analytics or advertising cookies, neither ours nor third parties', and uses no browser local storage and no tracker.9.2 Future changes. If we add measurement or advertising tools, we will update this policy, change the date in the header and ask for your prior consent before switching them on.

10. Your rights

10.1 Rights. You may request access to your data, its rectification where inaccurate, its erasure where no longer necessary, and you may object to its processing. You may also withdraw your consent at any time, without affecting the lawfulness of processing carried out beforehand.10.2 How to exercise them. Write to info@axiralogistics.com from the same address you contacted us with, stating which right you wish to exercise. If we cannot identify you with certainty, we may ask for further information before acting on the request.10.3 Response. We will confirm receipt and resolve your request as promptly as we can, within the periods set out in Law 172-13.10.4 Judicial remedy. If you consider that your rights have not been properly addressed, you may bring the constitutional habeas data action before the courts of the Dominican Republic.

11. Changes to this policy

11.1 We may update this policy when the way we handle your data changes or when regulation requires it. The date of the last update always appears at the top of this page.11.2 If a change materially affects data you had already sent us, we will notify you by email.

12. Governing law

12.1 This policy is governed by the laws of the Dominican Republic.
